This review covers two sister products from the same British company: Capsule, a CRM built for small businesses, and Transpond, its email marketing tool with native contact syncing. They aren’t the same product, but they’re sold and used together so often that it makes sense to audit them as a duo, just as the vendor itself does in its own communications.

What they are and who they’re for

Capsule is a CRM (Customer Relationship Management) tool focused on simplicity: contact management, a visual sales pipeline, tasks and, for a few versions now, a lightweight project management module. It competes in the small-business and freelancer CRM segment alongside names like Pipedrive, HubSpot CRM (free plan) or Zoho CRM, setting itself apart with a deliberately simpler interface than these larger rivals.

Transpond is the email marketing platform built by the same team, designed for people who already use Capsule and want to launch newsletters and campaigns without exporting contacts to Mailchimp or Brevo. It also works standalone, without needing a Capsule account, though its main value lies precisely in that native integration.

What it’s like to use day to day

Capsule’s strength lies in how little there is to learn before you can start using it. The contact record centralizes history, notes, files and open opportunities; the pipeline is managed by dragging cards between columns, a pattern any Trello user recognizes instantly. User reviews on G2 and Capterra agree very consistently on this point: it’s a CRM “that doesn’t need a manual.”

The trade-off shows up when something more sophisticated is needed: advanced conditional fields, multi-branch automations or highly custom reports. That’s where Capsule falls short of tools like HubSpot or ActiveCampaign, which trade simplicity for functional depth.

Transpond, for its part, uses a conventional drag-and-drop editor with pre-built templates and a “Brand Analyzer” that suggests color palettes and fonts based on the business’s website, an unusual touch for a tool at this price point.

Capsule AI: enrichment and summaries, not magic

Capsule has been adding AI features to its Growth, Advanced and Ultimate plans: a pipeline generator built from a free-text description, automatic company data enrichment, contact activity summaries and meeting prep (a summary of what’s known about a person before a call). These are reasonable utilities for saving administrative time, but they don’t replace predictive sales analytics like those found in Enterprise-tier tools; they’re also absent from the Free and Starter plans, which limits their real reach to people who are already paying more.

Capsule has a very solid rating on independent review platforms: 4.7/5 on G2 and 4.5/5 on Capterra, across a combined volume close to 900 verified reviews. On Trustpilot, with a smaller volume (around 67 reviews), the rating is also mostly positive, with users highlighting that issues get resolved quickly and that customer feedback ends up shaping new product versions. The most repeated praise across all platforms is ease of use and how quickly a sales team gets up and running without prior training.

The most repeated criticism points to limited customization compared with larger CRMs, to some “premium” integrations only arriving from the Starter plan onward, and to known problems Capsule has when working with very large teams or with less common third-party app integrations. Several reviews on TrustRadius also note that, in practice, support is handled mostly by email — without live chat or phone in most real cases reported by users — something worth keeping in mind if you need immediate issue resolution during business hours. Full two-way email sync, moreover, only arrives with the Growth plan and requires installing a Gmail or Outlook add-on, a nuance not always made clear in the marketing documentation.

Transpond, being a newer product with a smaller user base, still hasn’t accumulated a comparable volume of reviews on G2 or Capterra, so it’s worth evaluating it mainly on its features and its integration with Capsule rather than on an extensive track record of public opinions.

What’s new in 2026: more AI, but still in beta

During 2026 Capsule expanded its AI toolkit with three named features: AI Summaries (summarizes up to six months of a contact’s activity — notes, calls, emails, stage changes — into a relationship status summary), AI Pipeline Generator (builds a sales process structure from a natural-language description) and AI Email Assist (helps draft follow-up replies). Capsule has been explicit that these features remain in beta while the team observes which plans use them most, and has clarified in its documentation that AI-generated output is stored privately alongside account data and is not used to train models or shared with other accounts, a relevant nuance for anyone handling sensitive customer data. Two-factor authentication (2FA) and email templates supporting multiple recipients and attachments up to 25 MB were also added in 2026, minor improvements that fix limitations users had flagged before.

Pricing and plans

Capsule has a real free plan (not just a trial) for 2 users and 250 contacts, with basic CRM features. Paid plans are Starter (from around $18/user/month, up to 30,000 contacts), Growth (from around $36/user/month, automations and AI features), Advanced (from around $60/user/month, multiple pipelines and project boards) and Ultimate, with no public price, aimed at teams of 5 or more users with a dedicated account manager. Annual billing cuts the cost by up to 14% versus monthly payment, and there’s a 14-day free trial on all paid plans.

Transpond is billed by number of active contacts: free up to 1,000 contacts, then from around $9.90/month (Starter plan) or $19.80/month (Growth plan) from there, with the price rising in tiers according to list size.

These figures are indicative and can vary: it’s worth confirming the exact price on the official pages before signing up, especially for the Ultimate plan, which is negotiated case by case.
